Introduction Xoomworks Development Romania (XDR) has developed this tool for the IT companies and the IT Cluster. XDR Resource Sharing focuses on the needs of Cluj IT community to share resources on short to medium basis. It can be accessed anywhere as long has you have been provided with a secure username/password. Nowadays, finding an appropriate skilled person in a short period of time is critical. This tool allows you to easily search through the bench resources of other companies within Cluj IT community and find the right people for your company’s needs. This user guide will help you manage your resources more efficiently, benefit from the training sessions shared by other companies and find the skill sets that you need for your company’s projects. Depending on whether you are a company administrator or a user in this tool, you will have different menu items and rights. 2. XDR users and their roles As this tool shares sensitive information, one of the main concerns of this tool is to protect the companies. This is the reason why there are 3 types of users that have access to it, with well-defined roles: 1. Super Admin (the administrator of this tool) Only one user can have this role assigned This user invites companies to join the application Changes the Company Admin email address if needed Administrates the list of skills used for Resource Competencies Can delete a company 2. Company Admin Each company can have only one company admin user (we cannot use the domain for two company admins) Browses the list of resources, requirements and training sessions published by other companies Manages the resources, requirements and training sessions of the company Administrates the requests to set a trusted relationship (coming from other members or from the admin’s company) Requests more details regarding a resource, using the I’m Interested button on the Details page Accepts/Rejects/Withdraws the requests sent to other companies Can change the name of the company Adds/Edits/Deletes company users 3. Company Users Multiple Company Users are allowed Browses the list of resources, requirements and training sessions published by other companies Requests more details about a resource, using the I’m Interested button on the Details page 3. Company admin user creation There are 2 ways in which a company admin user can be created: You are invited by the administrator to join the application You send a request to create a new company and the administrator invites you to join. In both cases you will receive an email notification from noreply@xoomworks.com, where you will be invited to join XDR Resource Sharing by clicking on the link provided and filling in your company name, user name, email address and password. Once all information is provided, you will be redirected to the log in page. 4. Menu items The application has 7 main menu items: Home, Resources, Requirements, Training Sessions, My Account, About and Contact. In the top right corner, you can edit your user name (by clicking on your name) and/or change your password. Below is the quick search function, which you can use to find a resource. 4.1 Home page The Home page captures a quick view on the last 5 resources, requirements and training sessions that have been added. Resources grid contains: Public Name – the name of the resource Company Name – can be confidential, if your company is not in a trusted relationship with the company that posted the resource Hourly Rate – the rate to be paid for the resource (in EUR) Key Skills (years) – essential qualifications and experience (in years) Start Date/End Date –period of availability In order to see the full list of resources, you can click on the link below the table. Requirements grid contains: Position Title – Short description of the skills the company is looking for Company Name – the name of the company that posted the requirement Start Date/End Date – the period for which this position is needed In order to see the full list of requirements, you can click on the link below the table. Training Sessions grid contains: Session name – the title of the training session Price/participant Currency Start Date/End Date – training period In order to see the full list, you can click on the link below the table. You can click on any resource, requirements or training session name for more details. Each field will be described separately. 4.2 Resources This tab contains a list of all resources published by all companies. In addition to the fields from the Home page, it contains the Private Name of the resource. If you are in a trusted relationship with the company that published the resource, its name will appear. If you click on the public name, you will be able to view more details about the resource: Company Name - for trusted relationships. In case the value of the field is Confidential, a trusted relationship between the companies must be set, or the resource details have to be shared Country City Availability (depending on the location of the resource, it can be fully onshore, fully offshore or both) Hourly Rate – visible only to the companies in trusted relationship, or for which resource sharing has been accepted. Otherwise, the value is Confidential Availability Start Date/End Date Cingo link (*) – for trusted relationships LinkedIn profile – for trusted relationships Created On and Created by - when and by which company was the post created. It is visible only to the companies in trusted relationship, or for which resource sharing has been accepted HR Contact Details – for trusted relationships Full list of languages – if any have been added Full list of competencies – including years of experience and the level of expertise History of previous job titles – including responsibilities and technologies used (*)Note: Cingo is a software platform enabling recruitment managers and recruiters to interview candidates using live videos and recordings. The simple-to-use platform makes the hiring process more efficient by eliminating the need for time- consuming phone or physical interviews. You can find more information about Cingo here. If you are interested in finding more about a resource, but you are not yet in a trusted relationship with the company that published the resource, you can click on the I’m Interested button. This will send an email to the company that published the resource with your request and the company admin can accept or reject the request for more details. Note: The email will contain your company name, your user name and email. After the request is accepted, you will be able to view all fields. To check the status of your request, go to My Account Shared Resources or in the top right corner notification box: 4.3 Requirements This tab contains the full list of requirements publisherd by all companies. Click on the requirement name to view more details, like: Position Title Position Summary Availability – onshore only/offshore only/onshore & offshore Start Date End Date Essential skills and experience Optional – any other comments related to the requirement HR Contact Details – visible to all companies (name, phone number, email address) 4.4 Training Sessions This tab contains the list of training sessions planned to be organized by all companies. In addition to the information provided in the grid, you can find more about a training session if you click on the session name: Session description Level – Beginner, Intermediate, Advanced levels Country City Start Date & End Date – the duration of the training Available Seats No Price/Participant Currency Status HR Contact Details – the name of the company and the contact person, phone number and email address If there are uploads/Voyage/ user-guide 80 .pdf
